How we look after your information
This policy explains how Fractional / Talent Associates Ltd ("Fractional Talent", "we", "us") collects and uses personal information when you visit fractional-talent.co, talk to Q, work with us as a client, or are considered by us for a role.
Who we are
Fractional / Talent Associates Ltd is the data controller for the information described here. We are registered in England and Wales, company number 15860738, with our registered office at 47 Dean Street, London W1D 5BE. ICO registration number: ZB800011.
For anything about your information, email privacy@fractional-talent.co or write to us at the address above.
Website visitors
Our website does not use cookies, analytics or advertising trackers, and it does not store anything in your browser. Like any website, our hosting provider keeps short-lived server logs (such as your IP address, browser type and the pages requested) to keep the site secure and working.
The site loads fonts from Google Fonts, so your browser shares your IP address with Google when a page loads. Google states that it does not use this information to identify you or set cookies.
Talking to Q
Q is the AI assistant on our website. If you chat with Q, we collect what you type, and any details you choose to share, such as your name, email address, company, role and hiring needs. If you use the voice option, your speech is processed to hold the conversation and a transcript is kept.
We use this to answer your questions, pass your enquiry to the right person and, if you ask, arrange a call. Q is an AI and can make mistakes; a person reviews every call request before it goes ahead, and no decision with legal or similarly significant effects is made about you by Q alone.
Q runs on services provided by our technology partners, listed below. Please don't share sensitive information (such as health details) in the chat.
Clients and hiring managers
If you or your business work with us, we hold your contact details, your role briefs and the feedback, decisions and correspondence that come with each search, along with billing information. We use this to run your searches, keep you updated (including our weekly report), and invoice our fees.
Candidates
We find candidates in several ways: people apply to us, people are referred, and we review professional information people have made public, such as LinkedIn profiles. We may hold:
- contact details, CV, work history, skills, salary and notice period
- notes, recordings and transcripts of briefing and screening calls, where you agree to the call being recorded
- interview feedback from our clients, and your own feedback on the process
- messages between you and us, including emails and LinkedIn messages
We use this to match you with suitable roles, introduce you to clients (only with your agreement), arrange interviews, keep you updated and improve how we hire. We also use anonymised and aggregated information, such as typical salaries and experience by level, to give clients market insight; these never identify you.
If we find your public profile, we'll only ever approach you through LinkedIn, so you'll always know where we found you. You can ask us to stop at any time.
Our lawful bases
- Legitimate interests: running our hiring service, finding and contacting suitable candidates, responding to enquiries, and keeping our systems secure. We balance these against your rights and expectations.
- Contract: providing our services to clients, and taking steps you ask for before entering into an agreement.
- Consent: recording calls and sharing your details with a client. You can withdraw consent at any time.
- Legal obligation: keeping financial records and meeting the Conduct of Employment Agencies and Employment Businesses Regulations 2003.
Who we share information with
We share candidate details with a client only when you have agreed to be put forward for their role. We never sell personal information. We use these technology partners to run our business, each under a contract that protects your information:
- Airtable (database), n8n (automation) and Google Workspace (email, calendar, video calls and documents)
- Anthropic and OpenAI (AI processing for Q and our internal tools)
- ElevenLabs (Q's voice)
- Netlify (website hosting) and Slack (internal messaging)
Some of these partners are based in, or process data in, the United States. Where information leaves the UK, we rely on the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum to protect it.
How long we keep it
- Website enquiries and Q chats that don't lead to further contact: up to 12 months
- Candidate information: up to 2 years after our last contact with you, unless you ask us to keep it longer or delete it sooner
- Client and billing records: 6 years after the end of the financial year they relate to
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that's wrong or incomplete
- delete your information, or stop using it for a particular purpose
- stop contacting you about roles
- send your information to you or another organisation in a portable format
Email privacy@fractional-talent.co and we will respond within one month. If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Keeping it secure
We use appropriate technical and organisational measures to protect personal information, and access is limited to the people who need it to do their job.
Changes to this policy
We'll update this page if anything changes and show the date of the latest version at the top.
